These terms and conditions apply when you make a booking with Smart Bookings and you will be asked to confirm that you accept these conditions when confirming a reservation.

We reserve the right to amend these terms and conditions at any time and you should check them each time you make a reservation. Should there be a change, the terms and conditions applying to your reservation will be those in place on the date you make your reservation.

1. Booking conditions

1.1. These conditions govern the reservation made through the website of Smart Bookings, which is an affiliate of Treasures Company Limited.

1.2. By accessing and browsing our website, by its use and making a reservation, you acknowledge that you have read the following terms and conditions and that you understand them and agree with them.

1.3. Treasures Company Ltd is registered at the address KG 33 Av 18, Kigali, Rwanda and all correspondence should be sent to this address.

1.4. By making a reservation through the website of Smart Bookings, you enter into a direct (legally binding) contractual relationship with Smart Bookings and therefore you declare that you are 18 years of age or older and that you accept responsibility for all payments that are made on your behalf or by a credit card and confirm that your information is true and correct.

1.5. All your orders will be considered as your will to buy the required accommodation and other services that are on offer at Smart Bookings. However, Smart Bookings will not be contractually bound to provide the services you order at the offered price until your reservation is confirmed by Smart Bookings and the full payment is received for services ordered or credit card details as a guarantee of accommodation are provided.

2. Reservation & Cancellation Policy

2.1. When making online reservations through the website of Smart Bookings, it is necessary to fill in the booking form with all required information relating to accommodation (selecting the desired hotel, date of stay, number of people, number of rooms and possibly a discount code) and then click on check availability. Subsequently you get to a page where you can book a specific room type, based on the price and payment conditions. In the next step, you are redirected to a page where you fill in the booking form and you must enter your credit card details. After your final approval and sending the reservation, booking confirmation is received, which shows all the details of your reservation.

2.2. Once the payment authorization runs successfully, you will receive a confirmation email along with your booking confirmation and invoice. If you do not receive a confirmation email or if you have any questions, please contact our reservation department by email on reservation@treasuresbookings.com. Always quote the reservation number when communicating with our reservation department.

Changes of reservations

2.3. Any changes to the reservation (change of name, date of reservation, change of hotel, room type, etc.), need to be done in writing through Smart Bookings by sending an e-mail with the requested change to reservation@treasuresbookings.com.

2.4. You will receive feedback within 24 hours

Cancellations

2.5 Please note that a 48-hour cancellation policy applies at Smart Bookings and that we will always take your card number at the time of booking. Should you wish to cancel, you may do so up to 48-hours before arrival (before 10am on that day). No fee will be charged. If the booking is cancelled within 48 hours of arrival, the first nights' accommodation will be charged in full.

All Cancellations must be communicated by email or in writing directly to reservation@treasuresbookings.com. Your cancellation will be confirmed back in writing. On this confirmation will be also indicated possible amount of contractual penalties, according to the applicable cancellation policies.

Please note in the case of no-show, the first night will be charged.

If guests smoke in the bedrooms, the hotel may charge the cost of up to one night's accommodation.

3. Prices

3.1. On our website, we always show the average price per room / night and the total cost of the stay in USD.

3.2. Payment by credit card can be made only in USD.

3.3. Exchange rates are set daily by Smart Bookings and are based on the bank rates. Information about the exchange rate and the total price which was charged to your credit / debit card is always mentioned on the invoice which you receive.

4. Complains and compensations

4.1. If you have a complaint about the quality of accommodation or objections to the services provided, try to solve everything immediately on the spot with the hotel management and to enable them to rectify the situation quickly.

4.2. If the problem cannot be solved on the spot, send us your complaint by email on reservation@treasuresbookings.com within 7 days of the end of your stay. This will assist us to quickly identify your concerns and speed up our response to you.

Failure to follow the procedure set out in this clause may affect our ability to investigate your complaint, and will affect your rights under this contract.

5. Disabilities and Medical Problems

If you or any member of your party has any medical problem or disability which may affect your stay, please tell us before you make your reservation so that we can advise as to the suitability of the chosen room. In any event, you must give full details in writing at the time of making your reservation.

If we reasonably feel unable to properly accommodate the particular needs of the person concerned, we must reserve the right to decline the reservation or, if full details are not given at the time of booking, cancel when we become aware of these details.

6. Special Requests

If you have any special requests, you must advise us at the time of making your reservation. Although we will endeavour to pass any reasonable requests on to the relevant hotel, we regret neither we nor the hotel concerned can guarantee any request will be met unless we have written to you with specific confirmation that it will.

The fact that a special request has been noted on your confirmation or any other documentation or that it has been passed on to the hotel is not confirmation that the request will be met. Failure to meet any special request will not be a breach of contract on our part unless the request has been specifically confirmed. We do not accept reservations that are conditional upon any special request being met.

7. Applicable law & jurisdiction

Without prejudice to any mandatory protective provisions that may be applicable in your country of residence, we both agree that these Booking Conditions and any agreement to which they apply shall be governed in all respects by the laws in the Republic of Rwanda and that any dispute will be dealt with by the Courts of the Republic of Rwanda only.

8. Modification of Booking Conditions

Smart Bookings reserves the right to change these terms and conditions. It is your responsibility to regularly check the wording of these terms and conditions before each reservation and get to know its possible changes.
